Retail Store Manager
JOB TITLE: Retail Store Manager
STATUS: Full-Time Exempt
SUPERVISOR: Executive Director
SALARY: $45,000 per year
General Description: Responsible for the success and operation of Bellevue Arts Museum Retail Store. The Store is an extension of the Bellevue Arts Museum and must reflect the quality and content of the Museum and its mission.
Sales Responsibilities: The Retail Manager serves as the sales leader of the retail team and fosters and maintains relationships with key clients. Responsible for carefully monitoring store performance and promoting optimum customer service. Evaluates and reports on sales patterns, purchasing habits, security practices and daily procedural policies to achieve ideal retail performance. Cooperates with Visitor Services to sell Museum memberships in the store
Staff Management:
This position is responsible for the recruitment, hiring, training and management of the store personnel within the policies and procedure of the Museum.
Administrative Responsibilities:
This position is responsible for the successful administration of all operating requirements of the store including but not limited to: |
- Operates a computerized point of sale cash register and inventory management system: including the accurate entering of sales information: receiving payment for products: processing credit card transactions; making correct change; processing refunds, exchanges and voids; and issuing gift certificates and credit slips.
- Develops, implements and monitors procedural policy concerning all aspects of Retail Services.
- Keeps retail store, retail office and retail storage areas in an organized clean workable condition.
- Responsible for keeping advised of the retail store budget and staying within the budget parameters.
- Routinely monitors, evaluates and reports on all key financial indicators and controls. Responsible for preparation and administration of annual and long-range operating budgets.
- Responsible for maintaining an accurate inventory database. This includes but is not limited to creating purchase orders, receiving inventory against the purchase orders, entering variances for damaged, lost or stolen merchandise along with an explanation, accurately bar code labeling merchandise to be sold in the Retail Store.
- Preparing daily and monthly reports for the Directors and Finance Department.
- Daily reports include daily sales reports to accompany the daily till reports and daily variance reports. If there are discrepancies or unusual transactions these should be explained on a daily basis.
- Month end reports include summary of inventory on hand, sales tax report with ‘non-taxable’ sales explained, monthly variance report, and a monthly sales summary.
- Insures Retail operations are updated and compliant with all pertinent professional concerns, such as copyright issues, UBI issues and other legal issues effecting Retail operations.
Inventory Purchasing, Merchandising and Promotions |
- In conjunction with the Retail Buyer, the Retail Manager purchases appropriate inventory for resale. Together, they negotiate best pricing and payment terms from vendor/artist and carefully fosters positive relationships. Retail Manager keeps Buyer informed of budget available for orders and provides Buyer with monthly reports of consignment sales. Together with Retail Buyer, Retail Manager maintains healthy relationships with artists and other vendors.
- Responsible for timely submission of invoices for payment
- Responsible for merchandising and display.
- Together with Retail Buyer, responsible for the verification of source, quality, authenticity, educational value and relevance to museum mission of all merchandise.
- In partnership with the Marketing staff, develop and implement promotional incentives, such as advertising, signage, mailings, web page and press releases to increase museum and retail services visibility, vitality and patronage.
- Promotes public relations with planned book signings, receptions, craft demonstrations, lectures, and performances to stimulate visitor's interest and sales.
- Develops pricing and marketing strategy for museum-related products (i.e. Bellevue Arts Museum produced exhibition catalogues).
- Other duties as assigned.
Qualifications |
- A minimum of 5 years of experience in successfully managing retail stores. Experience with independent and/or specialty retail stores highly preferred.
- Experienced personnel manager. Respectful of staff, capable of training motivating and delegating.
- Highly organized, detail oriented.
- Experience with electronic POS, preferably TAM.
- Proven sales leader. Experience fostering relations with significant clients.
- A passion for arts, craft and design.
- Experience with display, merchandising and promotional strategies.
- College graduate or higher level of educational attainment.
- Ability to lift objects up to forty (40) pounds.
- Available to work evenings and weekends and special events.

Development Director
Reports to: Executive Director/CEO

Works Closely with: Artistic Director, Board of Trustees, Guilds, Volunteers, Docents, Senior Management Team
Position Status: Exempt Position
Salary Range: $70,000 to $75,000 per year

Primary objectives: As a member of the senior management team, the Development Director will be responsible for developing and implementing the fund development strategy for Bellevue Arts Museum. S/he will support, maintain and grow the Museum's donor base and serve as a representative of the Museum to our external constituencies. S/he will work closely with and provide direction and support for the fund development efforts of the Executive Director, Artistic Director and Board of Trustees.
KEY RESPONSIBILITIES: |
| Fund Development |
- Lead fundraising efforts in collaboration with the Executive Director, Artistic Director, Development Officer, Membership Manager, Events Manager and the Board of Trustees
- Establish fund development goals together with the Executive Director and the Fund Development Committee
- Oversee relations with and funding from all sources including individuals, trustees, government and public agencies, corporations, and foundations
- Manage donor research and provide appropriate briefings to Board and staff members who make funding calls
- Work with Development Officer to develop funding proposals in all sectors
- Utilize existing donor software to manage pledge reminders, matching gift requests and prepare appropriate reports
- Cultivate and meet with individual, foundation, corporate and government donors
- Provide all reports as required by donors
- Oversee all major giving strategies and annual giving programs, including direct mail and electronic or web based appeals
- Oversee the development of the membership programs and campaigns]
- Oversee the yearly annual fund appeal
- Provide leadership and oversight for all museum fundraising, donor cultivation and recognition events and activities
- Provide and train staff and Board on presenting key messages, donor options and recognition programs to donor prospects
- Develop case statements and ensure that all development materials are accurate, timely, and compelling
- Attend all appropriate Museum events and actively engage with the donors who attend
- Record and acknowledge all gifts and pledges in an accurate and timely manner
- Supervise the donor database information, reconcile donor information in finance records (QuickBooks, etc.) and maintaining accurate paper files

| Board of Trustees & Staff Relations |
- Work with the Fund Development Committee and other Board committees as needed;
- Attend Board meetings
- In conjunction with the Executive Director, train and provide on-going coaching for all staff and Board in donor cultivation and relations
- Generate and analyze monthly development reports for Executive Director and Board of Trustees
- As a member of the senior management team, take a leadership role in identifying and establishing institutional policies, practices and direction
- Participate in the museum’s strategic planning emphasizing increasing financial support for the Museum
- Directly supervise development office staff in accordance with the organization’s policies and applicable laws including: hiring, training, managing and directing work, evaluating, addressing performance issues when necessary, and recognizing achievement when appropriate

Qualifications: A proven track record as a successful fund development officer and/or director working for institutions with development goals in excess of $1,000,000. An understanding of and experience working with a diversified funding base. Outstanding communication, organizational and team-building skills. Self-starter with demonstrated ability to create and manage development plans, budgets and timelines. Experience leading board members and staff in development activities. Knowledge of national funding community. Knowledge of the local arts funding community a plus. Demonstrated ability to think strategically. Personnel management experience. Computer literacy with experience in managing and utilizing fund development software packages (Donor Perfect preferred). Ability to work effectively both independently and with a team. Self motivated, work well under pressure and able to handle multiple job requirements at the same time. Strong listening, public speaking and writing skills. An affinity for working with donors and trustees.
B.A. and 5 to 10 years experience is required, preferably in an arts and/or culture environment.
